Invoicing through CRM–ERP integration, not alongside your ERP.

Invoices, payments received and client balances synced from your ERP, with online payments through VivaWallet, so two systems never show a different balance for the same client.

One sync, three things.

For every client, CactusCRM pulls their invoices, payments received and current balance from the ERP. The client record keeps the full invoice history and the balance up to date, without anyone copying it by hand from the ERP.

Payments don’t get lost along the way.

Online payments go through VivaWallet. If the client closes the tab or loses the connection before getting back from the payment, an automatic check asks VivaWallet directly for the status of the transaction and updates the system. No payment is left pending just because the redirect was lost.

The sync never runs blind.

Every time a sync with the ERP starts, it is recorded separately per type (invoices, payments, balances) with its own status and progress percentage.

Running
The job has started and hasn’t finished yet.
Completed
The data of this type is up to date with the ERP.
Failed
Recorded separately, so you can see which part needs another try, rather than treating the whole sync as one block.

Every contract keeps its own balance, updated every day.

Monthly or yearly, marketing, support or hosting: every contract has a type, a payment method, a status (active, inactive or suspended) and a bank of hours. The balance isn’t a static number updated whenever someone remembers. It is recalculated automatically every day from the actual billable time logged, and it respects the date the client approved the estimate when the ticket was “estimate first”.

Negative balance
If a contract drops below zero, the system immediately notifies the front office, the account owner and accounting, so you don’t find out at the end of the month.
Hosting renewal reminder
Fifteen days before a hosting contract expires, an email with the payment details goes to the client automatically; a weekly check flags the ones that have already expired.

Clients see their balance, and can clear it on their own.

Payment through the portal

A client with billing access sees invoices, payments and their balance, and pays online through VivaWallet, with a lock so the same checkout is never recorded twice.

Buying support hours

For every site they manage, the client buys a pack of hours in one click; the payment creates the new contract automatically, with no quote and no manual entry on your side.

The cash ledger updates itself, not in a separate file.

Every client payment credits the right account automatically, and every expense debits it. Expenses can come straight from the ERP, with no double entry. Every transaction keeps the balance it left behind, so the history can be checked line by line.

When someone counts the cash on hand, the count is compared automatically with the expected balance. If they match, it approves itself; if not, it waits for approval before the balance is corrected. No discrepancy is ever fixed silently.

Invoicing & ERP FAQ.

Which ERP does CactusCRM connect to?

The current integration is with Soft1 ERP: invoices, payments received and client balances are pulled from there, per client.

Can I see if a sync failed?

Yes. Every sync is recorded per type (invoices, payments, balances) with its own status (running, completed or failed) and a progress percentage.

What if the client closes the page before the payment completes?

An automatic check asks VivaWallet for the status of the transaction and updates the system, so the payment isn’t left pending just because the redirect was lost.

Can clients pay on their own, through the portal?

Yes. Those with billing access see their balance and pay through VivaWallet. The amount is verified before the transaction completes, and the same checkout can’t be recorded twice.

Does a contract’s balance of hours update on its own?

Yes, daily. The system recalculates the balance from the actual billable time logged, and notifies accounting and the account owner if the balance drops below zero.
